Team ​

In “Team”, you can invite members, assign roles, and configure access for each person individually.

To open this section, choose “Team” in the “Profile” menu. It is available to people with “View” permission for the “Team” section.

Invite a member ​

  1. Choose an invitation method: “For an email” or “By link”.
  2. For “For an email”, fill in the required “Member email” field. This email restricts which account can accept the link. “By link” does not require an email: this option is marked “Any email address”.
  3. In the required “Role” field, select one of the available named roles. It sets the invitee's permissions after they accept the link.
  4. Click “Create invitation” or “Create link”.
  5. Click “Copy link” and send it to the member.

Both options create a single-use link that expires in “7 days”. “Expires in” is fixed and cannot be changed. A “For an email” link works only for an account with the specified email. A “By link” invitation can be accepted by any user who signs in or registers. Once accepted, the link cannot be reused. If you see “The link has expired.” or “The link has already been used.”, ask an administrator to create a new invitation.

For example, create a “For an email” invitation for anna@example.com with the “Editor” role. After accepting, Anna will see the sections that role permits.

“Create another invitation” hides the displayed link and lets you issue another one. This does not revoke the previous link: it remains valid until accepted or expired.

Creating an invitation requires “Create” permission for the “Team” section. For a member who does not own the account, the selected role cannot include permissions they do not have themselves. A visible button therefore does not guarantee that an invitation can be created. If creation is rejected for insufficient permissions, ask the owner to grant you “Create” in “Team” and the permissions included in the selected role, or choose a role within your own permissions.

Change a member's access ​

In the “Members” list, select a role in “Role” or click “Show permissions” next to a member.

  • A named role grants the member its set of permissions. Select it in “Role” and click “Save changes”.
  • To customize access, change the checkboxes in the permission matrix. The member will then have a “Custom role” with no link to a named role.
  • “Cancel” restores the saved settings.

Saving requires “Edit” permission in “Team”. A member who is not the owner also cannot grant another person broader permissions than their own. You cannot change your own access.

To remove another member, expand their row, click “Remove member”, and confirm removal. This requires “Delete” permission in “Team”.

The owner and unsaved changes ​

The workspace owner has all permissions in every section. Their “Owner” role is protected: it cannot be restricted or replaced with another role, and the owner cannot be removed. You also cannot remove your own access.

If an expanded member has unsaved permission changes, Flowtomate asks you to confirm switching to another member or collapsing the row. Choose “Keep editing” to preserve the draft, or “Discard and open” or “Discard and collapse” to lose the unsaved changes.

Configure shared roles ​

Click “Manage roles” to open “Roles and permissions”. Changes to a named role apply to every member with that role; individual permission sets are unaffected. See Roles and permissions for more about roles, the permission matrix, and deleting a role.
